To provide general support to the school. Duties include general clerical, receptionist and project based work. Project a professional image through in-person and phone interaction.

Classification: Non-exempt

Essential Duties and Responsibilities:

Attendance Duties:

Take attendance calls off the message machine

Update IC with corrected attendance

Run attendance letters for administration

School Communication Duties:

Take messages from incoming calls for staff

Get parent messages to students during instructional time

Make school announcements

Create all calls through school messenger

Send out email messages through IC and Outlook

Give requests to Charmaine from parents and staff

Administrative Assistant to Principal:

Help prepare presentations for meetings

Prepare copies of Board Meetings

Assist in maintaining Principal's calendar

Organize and file

Receive, route and screen incoming calls; take messages, and provide assistance to callers

Other duties as assigned

Health Aid Duties:

Administer First Aide

Communicate with parents regarding health concerns

Enter health office visits into IC

Keep medical supplies stocked

Keep administration updated on new health office requirements

Ordering Supplies:

Track use and inventory janitorial supplies

Order janitorial supplies

Order office supplies

Order teacher supplies

Create PO's and take through process

Distribute ordered supplies

Supporting with Clerical Needs:

Assist staff with clerical requests

Assist staff with arranging appointments

Assist with maintenance of copier machine

Assist with field trip submissions

Assist PTO with clerical needs

Distribute mail to staff

Administer School Messenger Program:

Set up attendance format for school

Track and resolve any problems with the program

Oversee the Substitution needs for Teachers:

Keep track of teacher absences and request substitutes

Assist in Accounting Duties:

Take in monies for different entities of Global Village

Oversee petty cash funds and reconcile on a regular basis

Distribute pay stubs

Distribute or mail checks to appropriate entities or personnel

Communication with accountant regarding questions or issues

Organize Photo Days

Communicate with administration regarding planned dates

Organize photo sessions for classes

Communicate with photographer and send student information for photo day

Send schedule to teachers

Distribute photos to classes

Communication with photographer regarding any problems

Other duties as assigned

Education and Experience:

High School Diploma or Equivalent

Minimum five years (5) experience in administrative support such as office and secretarial work, word processing or bookkeeping

Other background demonstrating application of the following knowledge, skills and abilities:

Criminal background check required for hire

Must have the ability to travel among district facilities

Depending upon the needs of department, position may require second language skills

Customer service and public relations skills

Critical thinking and problem solving skills

Ability to maintain confidentiality in all aspects of job

Ability to manage multiple tasks with frequent interruptions

Ability to manage multiple priorities

Ability to diffuse and manage volatile and stressful situations

Ability to promote and follow Board of Education policies and Building and Department procedures

Ability to communicate, interact and work affectively and cooperatively with all people including those from diverse ethnic and educational backgrounds

Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment, and report unsafe conditions to the appropriate administrator
