SUMMARY: The Curriculum, Instruction and Assessment Administrative Assistant provides general administrative support services to the Curriculum, Instruction and Assessment Director including processing mail, handling incoming phone calls, greeting guests, booking travel arrangements, ordering supplies, filing, completing expense reimbursement reports, maintaining calendars, meeting preparations, maintaining records, and other duties that create a pleasant, organized work environment which promotes productivity. The Administrative Assistant may coordinate/plan special events, assists with special projects as requested, and is supremely attentive to facilitating effective communication between families, teachers and the general community.
ESSENTIAL FUNCTIONS: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties.
Sets up conference calls, meetings and office functions both on and off-site;
Coordinates special events;
Handles all executive administrators meeting preparations;
Handles and directs in-coming calls and messages
Creates and maintains administrative calendars in Outlook, as needed;
Registers director for conferences and ensures travel arrangements are made;
Develops PowerPoints, spreadsheets and Word documents on behalf of the Administrative team;
Takes and transcribes meeting minutes and letters;
Filing and maintenance of records on behalf of the Administrative team;
Completes wide range of projects as requested by the Administrative team.
Supervisory Responsibilities: This position has no formal supervisory responsibilities.
MINIMUM REQUIRED QUALIFICATIONS:
High School diploma or General Educational Development (GED) AND
Three (3) years of experience in an administrative support role OR
Equivalent combination of education and experience
Certificates and Licenses: None required.
OTHER REQUIRED QUALIFICATIONS:
Great organizational and time management skills
Working knowledge of digital VOIP phone systems (PBX or others)
Working knowledge of online conference tools such as Zoom, Go To Meeting, Blackboard or Others
Professional experience using Office 365, MS Excel, MSWord, MS Powerpoint and Outlook
Experience using search engines (Internet) for research projects
Strong written and verbal communication skills
Strong typing skills
Ability to pass required background check
Previous experience as an executive level assistant
Previous experience in a school setting
Previous experience with Infinite Campus SIS
Previous experience with Google Suite of Tools

This is an office-based position. The noise level in the office is usually moderate (computers, printers, light foot traffic).
Requires travel at a minimum of one evening per month for GCA Board meeting
May include travel for training and professional development
