ROLE SUMMARY

The Payroll Administrator is a key member of small but crucial Alliance team that ensures that more than 1,200 Alliance employees receive their appropriate compensation. Along with the Payroll Manager, the Payroll Administrator leads the implementation of payroll functions for Alliance’s 25 schools and Home Office while works closely with Alliance’s Human Resources Team and school site operations managers.

ESSENTIAL RESPONSIBILITIES

Run Semi-Monthly Employee Payroll
Collect payroll information from Alliance’s 25 schools each pay period and enter information into Alliance’s payroll system with accuracy. Occasionally issue manual payroll checks.
Check and verify that payroll deduction amounts for each pay period are accurately deducted.
Prepare and submit monthly employee pension reports.
Manage Payroll Records
Establish and maintain all payroll records including payroll journal entries and also quarterly and annual payroll tax returns and W-2’s.
Archive and safeguard all payroll related files by fiscal year.
File and maintain employee timesheets and vacation approval forms.
Lead Payroll Accounting
Support year-end audit related to payroll.
Maintain and reconcile all payroll-related and benefits accounts, including for vacation and sick days health insurance deductions, STRS/PERS deductions, and Flexible Spending Accounts.
Reconcile various payroll-related liability accounts before month-end closing is completed.
Customer Service and Support
Provide best-in-class customer service to school sites and home office employees with payroll related questions
Train and support school site operations managers on the payroll process and key school site duties

THE STRONGEST CANDIDATES WILL HAVE/BE:

Strong quantitative abilities, including ability to accurately conduct rapid calculations, identify and correct errors in computations

Understanding of the nuances of urban school environments and school culture

QUALIFICATIONS

Bachelor’s degree in business administration, accounting, public administration or a related field from an accredited college or university.
At least two (2) years of payroll experience.
Deep understanding of best practices in financial and accounting record keeping, basic accrual accounting principles and procedures, and payroll processes and reports
Experience with Microsoft Office (e.g., intermediate/advanced skills with Excel) and ADP Workforce required.
Experience with the following is a preferred but not required:
Abila MIP (accounting system)
CalSTRS & CalPERS knowledge and reporting
Accounting Journal Entries
