REPORTS TO: GREAT HEARTS ACCOUNTING MANAGER

Great Hearts is comprised of a network of sixteen academies in the Phoenix metropolitan region, with growth to nineteen academies in Fall 2014. At capacity, the network will graduate nearly 1,000 students each year. This critical mass of highly impressive graduates will change the educational landscape in Phoenix, and the Great Hearts network will be a catalyst for reforming public education in Arizona. Duties & Responsibilities

Great Hearts is seeking an Accounts Payable Coordinator to join its dynamic and growing Accounting & Finance team. The Accounts Payable Coordinator is responsible for day to day processing of accounts payable transactions including accounts payable specific technical tasks, general accounting/reconciliation, administrative assistance and customer service. The right candidate will be detailed oriented with strong work ethic and excellent communication skills.

Primary responsibilities include:

Process accounts payable and generate weekly check run for multiple entities

Review payment submissions for general ledger account coding and approval signature

Audit expense reimbursements

Answer inquiries regarding accounts payable and/or assist in issue resolution

Distribute/mail vendor checks

Ensure compliance with established company policies and procedures and incorporate procedural changes when necessary

Distribute check registers and credit card statements as appropriate

Reconcile AP subsidiary ledger to general ledger

Establish new vendors and maintain W-9 file

Compile 1099 data and assist in the coordination of 1099 distribution and 1096 IRS filing

Generate various accounts payable reports for internal and external distribution as necessary

Interact regularly and professionally with other departments and school representatives

Perform other duties as assigned


Qualifications, Competencies and Strengths

The Accounts Payable Coordinator position offers an exceptional opportunity to develop professionally and contribute meaningfully to a unique organization which is changing K-12 education in this country. While experience in education is not a requirement, Great Hearts is seeking people who are passionate and committed to K-12 education reform.



Bachelor’s degree in accounting, finance or related field preferred

At least 3 years of accounts payable work experience; education industry experience preferred

Excellent interpersonal communication skills and the ability to build strong relationships

Detailed oriented with strong organization and time management skills

Demonstrated professionalism and responsible enough to take ownership of projects

Advanced proficiency with Microsoft Office; Blackbaud Financial Edge system experience a plus

Ability to work in fast paced, dynamic environment with minimal supervision and multiple deadlines
