ROLE SUMMARY

The Accounts Payable Clerk handles the complete accounts payable duties for the Alliance. The position will report directly to the Compliance Manager.

ESSENTIAL RESPONSIBILITIES

Perform accounts payable duties with accuracy and timeliness to assure that positive business relations with vendors are maintained.
Provide accurate data entry and general ledger coding to all vendor invoices, employee expense reimbursements and internal payment requests to ensure proper accounts are charged to the appropriate account code, fund number and project ID by multiple entities.
Review AP aging report and P.O. Encumbrance report and reconcile any discrepancies.
Ensure invoices are approved and coded correctly to the general ledger or project ID prior to entering into the system.
Follow up on stale checks/outstanding checks with vendor as needed.
Handle vendor relations/discrepancies/credit memo/follow-up.
Solve problems and resolve outstanding issues as they arise.
Set up 1099 vendors and maintain W-9 forms
Review all invoices for proper approvals and follow up with schools as needed.
Process and mail vendor checks on a weekly basis.
Timely resolution of inquiries from vendors and multiple entities. This includes correspondences via phone, fax and E-mail.
Assist in special projects and year-end audit schedule preparation.
Research and respond to internal and external inquiries related to accounts payable and various expense reports.
Maintain and update vendor files, includes new set up.
Perform other duties as assigned by controller.


QUALIFICATIONS

Education and Experience:

Prefer a bachelor’s degree in accounting, business administration, or a related field from an accredited college or university.
Prefer two (2) years of experience in Accounts Payable.

Skills, Beliefs, and Mindset:

The qualified Accounts Payable Clerk must be highly organized, detail oriented, computer proficient
Must be able to work with minimal supervision, be familiar with accrual basis accounting.
Candidates must be able to work well independently. Also have excellent phone/communication skills and the ability to deal with customers.
Knowledge of SAGE MIP (desired) and MS Excel Required.
Identify and prioritize workload to meet deadlines with minimal supervision.
Ability to process detailed data in an accurate manner.
